Executive Assistant / Office Manager-

Responsible for managing the day-to-day operations of a small, yet busy office, as well as perform executive assistant duties for senior staff – particularly the president.  Must be a person who relishes the opportunity to create order out of big-picture thinking and is excellent at negotiating and adapting to diverse personalities.


Executive Assistant

  • Personal assistance to a busy executive (including a bit of personal-life assistance such as family travel and appointments)
  • Supporting writing and publishing activities
  • Dictation
  • Writing and editing correspondence
  • Proofreading documents small and large
  • Preparing seminar presentations using PowerPoint
  • Managing resource material sales
  • Helping market resource materials and HMA services
  • Scheduling travel itineraries
  • Research assistance

 

Office Management

  • Liaising with IT consultant
  • Computer troubleshooting
  • Overall responsibility for effective office systems and procedures, including making informed decisions about purchases, implementing new procedures, managing suppliers, etc.
  • Liaising with building management
  • Reception: dealing with couriers, answering phones, processing mail
  • Ensuring maintenance and effective performance of office equipment, including computers and software, photocopiers and printers.
  • Purchase of equipment and supplies
  • Updating website, contributing to blog, newsletter etc.
  • Processing of email, routine backup of files
  • Responding to the general queries and needs of a team of 16 staff
  • Responding to new business enquiries
  • Supporting recruitment activities
  • Coordinating company social activities

 

Skills Needed

  • 2 years of experience as either an office manager and/or personal/executive assistant
  • Excellent writing and communication skills, superior knowledge of grammar and punctuation
  • Above average degree of proofreading accuracy
  • Able to take rough dictation and transcribe into clear, logical writing in proper grammatical format
  • Responsible, self-motivated, very detail-oriented
  • Excellent abilities to multi-task and prioritize
  • Ability to anticipate, and to troubleshoot basic computer problems and general office ‘emergencies’
  • Exceptional organizational skills, able to multi-task
  • Resourceful, can-do attitude, high degree of initiative
  • Strong sense of integrity, good sense of humour
  • Minimum typing speed of 40 wpm
  • Strong level of computer proficiency: Word, Excel, Outlook, PowerPoint, Access as well as basic knowledge of web and social media outlets (Facebook, Twitter etc).
  • Self confident and decisive
  • To be a general resource providing information, support, and consistency to staff
  • Ability to smile under pressure

Senior Account Manager / Account Manager

You and your role

You will play a key role in our client services team. You are skilled in time and project management, and customer service. Great writing skills are a must. You are comfortable communicating by phone, e-mail, and in presentations. You have a natural aptitude to foresee logistical problems and to be pro-active.

As an Account Manager, you will play a key role in our client services team. You’ll be responsible for executing first-class direct response fundraising programs for a variety of charities. A critical part of your role is to manage the mailings that fulfill each client’s direct response strategy. This includes daily communication with your clients, working with our designers and copywriters to produce great creative, and working closely with our Production Team.

You bring with you at least 2-3 years of direct marketing experience, specifically direct mail (either agency or client side). Fundraising experience is a definite asset, but is not essential.

You have a strong commitment to relationship building. You are a ‘self-starter’ who is able to hit the ground running, and thrives in a busy, creative, results-oriented role. You are experienced in the development of mail campaigns, understand the long-term implications of mailing decisions, and can communicate this clearly to clients verbally and in reports.

As a Senior Account Manager, you will be both a strategist and a tactician. You’ll be responsible for developing and executing first-class direct response fundraising programs for a variety of charities. A critical part of your role is to inspire, lead, and supervise account and creative teams in the fulfillment of direct response strategies, as well as managing the mailings that fulfill each client’s direct response strategy.

You bring with you 3-5 years of experience in direct response fundraising, with a lot of knowledge about direct mail, and a strong focus on results.

You are naturally committed to building relationships, internally and with clients. You’re a professional who thrives on both big-picture thinking and attention to the details that make direct response campaigns work. You are a highly creative ‘self-starter’, who is also obsessed with numbers.

You know how to win the respect and confidence of your staff and your clients. You also have exceptional skills in results analysis, formal writing, time and project management, and presentations. You have the experience to perform reviews on profitability and identify ways to streamline or improve results and service.
